Privacy notice
We collect details from advisers who apply to work with us, and from people who ask to speak to a financial adviser about their pension. We share a person's answers with one FCA-authorised advice firm, to arrange the appointment they asked for. We do not sell contact lists or pass your details to multiple firms; a firm pays us when a qualifying meeting takes place.
Who we are
InvestmentsBooked is a trading name of Meeting Booked Limited ("we", "us"). We run this website and book appointments between people who want regulated retirement advice and independent financial adviser firms. Meeting Booked Limited is the data controller for the personal data described in this notice. Company number 17077760.
Our postal address is our registered office, 8 College Street, Gloucester GL1 2NE. You can contact us about anything in this notice: email hello@investmentsbooked.com, WhatsApp us on 07783 530523, or send us a message through our contact form.
InvestmentsBooked is not authorised by the Financial Conduct Authority and does not give financial advice.
If you apply as an adviser
What we collect
- Contact details: your name, work email and mobile number.
- Firm details: firm name, FCA reference number (FRN), how you advise, firm size.
- Preferences: the regions, pension sizes, advice areas, meeting types and monthly capacity you tell us about, how you find clients today, and any notes you add.
- Technical data: the page you applied from, any campaign tags in the link you followed (such as utm_source), your IP address and browser type, which we use to prevent spam and abuse.
Why, and our lawful basis
- To assess your application, check your firm on the FCA register and contact you about joining: steps at your request before entering a contract, and our legitimate interests in only working with authorised, independent firms.
- To run your account once you join, including billing and outcome records: performance of a contract.
- To keep records we may need for disputes or regulatory questions: legitimate interests and legal obligations.
If you ask to speak to an adviser about your pension
What we collect
- Contact details: your name, email address and mobile number (we check the mobile number with a one-time code).
- Your answers: the approximate value and types of your pensions, number of pots, year of birth, where you are with retirement, work situation, what you'd like help with, other savings in broad bands, home ownership, whether you have an adviser, relationship status and whether a partner will join, how you'd like to meet, your postcode and your chosen appointment time.
- We ask you not to tell us about your health. We don't ask about your attitude to risk and we don't give recommendations.
Why, and our lawful basis
- To check the appointment fits what adviser firms can help with, book your call, and send booking confirmations and reminders: steps at your request and our legitimate interests in running a booking service people asked for.
- To share your answers with the one adviser firm that takes your booking, so it can prepare for the appointment you asked us to arrange: performance of a contract (arranging the appointment you requested). You ask us to book you with one FCA-authorised independent firm. We share your answers with that one firm only, and we tell you the firm's name and FCA reference number (FRN) as soon as it takes the booking, before the call. You can cancel at any time.
- To confirm whether the call took place and ask how it went, which we use to credit advisers fairly and check the service is working for you: legitimate interests.
- To prevent fraud and misuse: legitimate interests.
We do not phone people about pensions, and we do not send pension marketing from InvestmentsBooked. Booking messages by email, SMS or WhatsApp are about the appointment you made.
If you send us a message
When you use our contact form, we collect your name, email address, firm name (if you give it), the topic you choose and your message, plus your IP address and browser type to prevent spam and abuse. We use them to reply and to keep a record of what was asked and answered, which for complaints and data requests we may need to show later: legitimate interests and, for complaints and data requests, legal obligations. We don't add you to a mailing list.
Who we share it with
- The adviser firm you are booked with. It becomes an independent controller of your data from that point and is responsible for the advice it gives you and how it handles your information. It may only contact you about the appointment you booked.
- Service providers that run the service for us, under terms that stop them using your data for anything else: our hosting provider (Railway), our database (Postgres, hosted on Railway), our email and SMS provider for booking confirmations and reminders, and WhatsApp if you message us there or choose WhatsApp reminders.
- We do not sell contact lists or pass your details to multiple firms. A firm pays us when a qualifying meeting takes place, and your answers go to that one firm only.
If no adviser firm can take your appointment, we tell you and delete your details in line with the retention periods below.
How long we keep data

Where your data is stored
This website, our application records and our booking records are hosted on Railway, with the database in Postgres on Railway. Booking messages go through our email and SMS provider, and through WhatsApp if you use it. Where any of these providers processes data outside the UK, we rely on UK adequacy regulations or the ICO's international data transfer agreement or addendum, so your data keeps an equivalent level of protection. Ask us through our contact form if you want to know which safeguard applies to a particular provider.
Your rights
Under UK data protection law you can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or send it to you in a portable format. Where we rely on your consent, you can withdraw it at any time; that won't affect what we did before.
How to exercise your rights
Send us a request through our contact form with the topic "Privacy or data request" already chosen, or email hello@investmentsbooked.com. Tell us which right you want to use and give the name and email address or mobile number you used with us, so we can find your records. We reply within one month. There is no charge.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113). We'd appreciate the chance to put it right first.
